Terms & Conditions

Terms & Conditions

These Terms & Conditions apply to your booking with Dharma Retreats. Please read them carefully before submitting your application or payment, as they govern your booking and participation in our retreats.

By submitting an application, making a payment, or otherwise confirming your participation in a Dharma Retreats experience, you acknowledge that you have read, understood, and agreed to these Terms & Conditions.

These Terms & Conditions constitute the agreement between Dharma Retreats and the participant regarding the retreat booking, payment terms, cancellation policy, travel responsibilities, and participation requirements.

Deposits & Payments

Booking Your Retreat

A non-refundable deposit is required to secure your place on a retreat.

Your deposit reserves your accommodation and place within the retreat group and allows Dharma Retreats to make advance commitments to venues, accommodations, transportation providers, guides, and other retreat suppliers.

Your place is not confirmed until the required deposit has been received and your booking has been accepted by Dharma Retreats.

Payment Schedule

Participants may secure their retreat with the required deposit up until 45 days before the retreat start date.

The remaining balance is due in full no later than 45 days before the retreat begins.

For bookings made within 45 days of the retreat start date, full payment is required at the time of booking.

Payment Plans

Where payment plans are offered, available installment options will be communicated at the time of booking.

Participants who choose a payment plan remain responsible for completing all scheduled payments by the applicable deadlines.

Failure to make a scheduled payment may result in cancellation of the booking and forfeiture of all amounts already paid.

Non-Refundable Payments

All deposits and payments are non-refundable and non-transferable, except where otherwise specifically stated in these Terms & Conditions.

We strongly recommend purchasing comprehensive travel insurance at the time of booking.

Cancellation By The Participant

All cancellation requests must be submitted in writing by email.

Because Dharma Retreats makes substantial non-refundable commitments to venues, accommodations, transportation providers, guides, and other suppliers well in advance of each retreat, payments cannot be refunded or transferred to another person if a participant chooses to cancel.

This policy applies regardless of the reason for cancellation, including illness, personal circumstances, changes in travel plans, flight cancellations, family emergencies, or other unforeseen circumstances.

For this reason, we strongly recommend purchasing travel insurance that includes trip cancellation and interruption coverage.

Cancellation Of A Retreat By Dharma Retreats

Dharma Retreats reserves the right to cancel any retreat for any reason, but will not cancel a retreat less than 30 days before the retreat start date except for unusual or unforeseen circumstances outside Dharma Retreats’ control. When a retreat is canceled by Coherence Retreats LLC before the agreed date of departure, the Client can Transfer their deposit to another retreat taking place within one calendar year

The credit will be applied toward the price of the new retreat selected. If the new retreat has a higher price, the participant is responsible for paying the difference.

Credits cannot be exchanged for cash and cannot be transferred to another person.

These experiences are not intended to diagnose, treat, cure, or prevent any medical or psychological condition and are not a substitute for medical care, psychotherapy, or other professional healthcare.

Participation in activities is voluntary.

Dharma Retreats does not guarantee any particular physical, emotional, spiritual, or personal outcome from participating in a retreat or its activities.

Suppliers & Independent Contractors

Dharma Retreats may work with independent venues, hotels, transportation companies, restaurants, guides, practitioners, wellness professionals, excursion providers, and other third-party suppliers.

We make reasonable efforts to work with reputable providers. However, Dharma Retreats is not responsible for the independent actions, omissions, delays, cancellations, changes, or performance of third-party suppliers.

Where appropriate, itineraries may be adjusted to accommodate circumstances outside our control.

Safety & Participation

Participants agree to follow reasonable safety instructions and the rules of the retreat property, transportation providers, venues, guides, and activity providers.

Dharma Retreats reserves the right to remove a participant from an activity or retreat if their conduct presents a risk to themselves, another participant, staff, suppliers, or the environment.

In such circumstances, no refund will be provided.

Photos, Video & Content

Dharma Retreats may photograph or record portions of its retreats for marketing, promotional, social media, website, and educational purposes.

If you have concerns about photography or filming during a retreat, please contact Dharma Retreats before or during the retreat.

Retreat Itinerary Changes

Dharma Retreats reserves the right to make reasonable changes to a retreat itinerary when necessary.

Changes may occur due to weather, safety concerns, venue requirements, transportation issues, local conditions, availability, government restrictions, supplier changes, or other circumstances beyond our reasonable control.

We will make reasonable efforts to preserve the overall character and experience of the retreat whenever changes are necessary.

An itinerary change does not automatically entitle a participant to a refund.

Force Majeure

Dharma Retreats shall not be responsible for delays, cancellations, losses, or changes resulting from circumstances beyond its reasonable control, including but not limited to natural disasters, severe weather, epidemics or pandemics, government restrictions, political or civil disturbances, transportation disruptions, strikes, acts of terrorism, war, or other extraordinary events.

Where such circumstances result in the postponement or cancellation of a retreat by Dharma Retreats, the Dharma Retreats credit policy described above will apply.

Liability

To the extent permitted by applicable law, Dharma Retreats is not responsible for loss, damage, injury, delay, expense, or inconvenience resulting from circumstances outside its reasonable control or from the acts or omissions of independent third-party suppliers.

Participants acknowledge that travel and retreat participation involve inherent risks and agree to take reasonable responsibility for their own safety, belongings, health, and decisions throughout the retreat.

Nothing in these Terms & Conditions is intended to exclude or limit any liability that cannot legally be excluded or limited under applicable law.

Acceptance Of Risk

By booking and participating in a Dharma Retreats experience, participants acknowledge that travel and retreat activities may involve inherent risks and that they voluntarily assume responsibility for participating in the experience.

Participants agree to make informed decisions about their participation and to communicate with Dharma Retreats if they have concerns regarding their safety, health, or ability to participate.

Severability

If any provision of these Terms & Conditions is determined to be invalid, unlawful, or unenforceable, that provision will be limited or removed to the extent necessary, and the remaining provisions will continue in full effect to the extent permitted by law.

Governing Law
